Who we are
This site is operated by the organizers of the MV Users (MUG + SHIMS) user group meeting. Questions about your information can be sent to support@mvusers.com.
What we collect
We collect only what you give us:
- Registration details: name, email, company, title, meal RSVPs, session topics of interest, and dietary needs.
- Sponsor details: company, contact name and email, and the tier selected.
- Payment: card payments are processed by Stripe. We do not see or store your full card number; Stripe handles it under their own security and privacy terms.
- Technical data: to protect the forms from abuse, we briefly process your IP address for rate limiting. It is used only for security, kept for a couple of minutes, and not used to identify or track you.
Why we use it
To run the meeting: to confirm your registration, plan catering and the agenda, communicate event details, and process payments.
Legal basis
We process your information to provide a service you asked for (your registration or sponsorship, a contractual basis) and on the basis of your consent for optional items such as analytics. You may withdraw consent at any time.
Who we share it with (sub-processors)
We do not sell or rent your information. We share it only as needed to run the event, with:
- Stripe: payment processing (card data is entered on Stripe and never touches our servers).
- Cloudflare: website hosting and the database that stores registrations and sponsor requests.
- Our email delivery provider: to send confirmation and notification emails.
As is standard for this meeting, sponsors receive a post-event attendee list (name, company, title). You can opt out of the sponsor attendee list at any time by emailing support@mvusers.com.
Where your data is stored
Our providers store and process data in the United States. If you are visiting from outside the US, submitting the form transfers your information to the US.
Cookies and local storage
This site sets no third-party tracking cookies. It uses your browser's local storage only for
essential, first-party functions: your cookie choice (mv-consent-v1), your light/dark
theme (mv-theme), and a saved draft of a form you are filling in
(mv-reg-draft, mv-sponsor-draft). Optional analytics are off unless you
allow them via the Cookie preferences link in the footer, where you can also change
your choice at any time.
Retention
We keep registration and sponsor records for the current meeting cycle and delete them within roughly 12 months after the event, except records we must keep longer to meet financial or legal obligations.
Your rights
You can ask us to access, correct, delete, export (portability), or restrict processing of your information, and to object to processing or withdraw consent. If you are a California resident, you may exercise your CCPA rights, including the right to know and delete, and we do not sell or share your personal information; we will not discriminate against you for exercising these rights. Email support@mvusers.com and we will respond within a reasonable time (generally within 30 days). If you are in the EU/UK, you may also complain to your local data protection authority.
Children
This site is intended for business professionals and is not directed to children under 16. We do not knowingly collect information from children.
Security
We use reasonable technical and organizational measures to protect your information (encrypted transport, input validation, parameterized database access, and access controls). No system is perfectly secure, but if a breach affects your information we will notify affected registrants and any authorities as required by law.
Changes
We may update this policy as the meeting and its operations are finalized. Material changes will be communicated to registrants by email, and the date above always reflects the latest version.
